These Terms of Service ("Terms") govern your access to and use of ReceptionAI, an AI phone receptionist service operated by ReceptionAI (Pty) Ltd ("ReceptionAI", "we", "us", "our"), based in Cape Town, South Africa. By creating an account or using the service, you agree to these Terms.
1. The service
ReceptionAI is software-as-a-service (SaaS). It answers your business's phone calls using an AI receptionist, captures caller enquiries ("leads") on your behalf, and can book appointments and send you those leads via WhatsApp and your dashboard. ReceptionAI is a software subscription — it is not a lead-generation or lead-resale service. The leads it captures are your own callers' details, delivered only to you.
2. Accounts and eligibility
You must be at least 18 years old and using the service for a business. You are responsible for the information you provide, for keeping your login credentials secure, and for all activity under your account. You must give accurate business and contact details.
3. Subscriptions, fees and billing
- Plans are charged at the prices shown on our website — Starter R499/month, Pro R999/month, and Business R2,499/month — each plus a per-minute usage rate for calls handled.
- Fees are billed monthly in South African Rand (ZAR) via our payment processor, Paystack.
- Subscriptions renew automatically each month until cancelled. Usage is metered, and a monthly spend cap applies to protect you from runaway costs.
- We may change prices with reasonable notice; changes apply from your next billing cycle.
4. Acceptable use and the AI
Your receptionist is automated AI. It aims to be accurate and helpful, but it can make mistakes, and you are responsible for reviewing the leads and bookings it produces. You agree not to use the service unlawfully, to send spam, or to mislead callers. If a caller asks, the AI will honestly confirm that it is an AI.
5. Your data and your leads
You own your business data and the leads captured for you. We process them solely to provide the service to you, and we never sell, rent, broker, or share your leads with third parties. Our handling of personal information is described in our Privacy Policy.
6. Availability
The service is provided on an "as is" and "as available" basis. We work hard to keep it running reliably but do not guarantee uninterrupted or error-free service, and we may add, change, or remove features over time.
7. Cancellation
You can cancel at any time. Cancellation and our approach to refunds are set out in our Refund & Cancellation Policy.
8. Limitation of liability
To the fullest extent permitted by law, ReceptionAI is not liable for any indirect, incidental, or consequential loss, including lost business, missed calls, or lost profits. Our total liability for any claim is limited to the fees you paid to us in the three months before the event giving rise to the claim.
9. Indemnity
You agree to indemnify us against claims arising from your misuse of the service or breach of these Terms.
10. Changes to these Terms
We may update these Terms from time to time. Material changes will be notified, and continued use means you accept the updated Terms.
11. Governing law
These Terms are governed by the laws of the Republic of South Africa, and the South African courts have jurisdiction.
